Managed vs Self-Managed Salesforce for Nonprofits

Self-managed Salesforce works when the nonprofit has enough internal capacity to own administration, data quality, integrations, reporting, releases and user support. Managed Salesforce becomes attractive when the organization needs Salesforce’s flexibility but cannot justify building all of those capabilities internally. The important comparison is not the monthly retainer versus one administrator’s salary — it is the full operating workload required to keep Salesforce useful.
What “self-managed” actually includes
A Salesforce administrator is rarely responsible for only users and fields. A nonprofit Salesforce operating model may also need someone to manage:

The bus-factor problem
A nonprofit may have one employee who knows why every field, report and automation exists. That feels inexpensive until the employee leaves — then the organization discovers that configuration is not the same thing as documentation. Compare administrator + developer + integration support + data-quality work + report development + training + continuity + management overhead against the actual managed-service scope. The answer can go either way.
